Job Description:

The Procurement Manager will enable business growth while pursuing cost reduction and process streamlining. This role involves overseeing the purchasing process, optimizing stock levels, and providing guidance on sourcing and procurement processes. The Procurement Manager will also manage the stores’ function and lead procurement efforts across Tanzania.

Key Responsibilities:

  • Develop inventive and cost-effective procurement strategies.
  • Lead procurement efforts to maximize value from suppliers.
  • Work with business units and heads of departments to centralize direct and indirect sourcing and procurement.
  • Source and engage reliable suppliers and vendors.
  • Negotiate advantageous terms with suppliers and vendors.
  • Review and ensure the feasibility of existing contracts.
  • Build and maintain long-term relationships with vendors and suppliers.
  • Approve purchase orders and confirm delivery of goods and services.
  • Advise management on cost-cutting measures and discrepancies.
  • Perform risk assessments on potential contracts and agreements.
  • Control the procurement budget and promote long-term savings.
  • Prepare procurement reports.
  • Coordinate with stores to ensure goods delivered match delivery notes, invoices, GRNs, and purchase orders.
  • Ensure zero stockouts for critical items.
  • Manage and maintain proper storage of inventory.
  • Ensure accurate and authorized shipments and inventory transactions.

Principal Outputs of this Role:

  • Coordinate between Procurement Officers and Storekeepers across the country.
  • Ensure purchase requests are prepared for all stock replenishments.
  • Maintain minimum and maximum reorder levels according to stock management principles.
  • Post received or issued items in the system within the day of the transaction.
  • Ensure goods meet required standards and correct quantities and prices.
  • Hand delivery notes and invoices to the accounts department promptly.
  • Ensure transfers and receipts are posted promptly and GRNs are handed over to accounts for invoicing.

Qualifications & Experience:

  • Bachelor’s degree in Procurement, Supply Chain Management, Logistics, or a related field; a professional qualification in procurement is an added advantage.
  • Minimum of five (5) years working in a procurement role, with at least two years at a senior level.
  • In-depth knowledge of preparing and reviewing contracts, invoicing, and negotiation terms.
  • Knowledge of stock management practices.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).
  • Good organizational and time management skills.
  • Highly organized and detail-oriented.
  • Desirable: Industry-recognized Supply Chain/Procurement certification (e.g., CPSM from the Institute for Supply Management, Chartered Institute of Purchasing and Supply, International Purchasing and Supply Chain Management Institute).
